JOB TITLE Administrative Assistant, The position is a non-exempt, permanent, full-time position. GENERAL DESCRIPTION Performs complex professional assistance work. Work involves coordinating high-level administrative operations of the Rio Grande City EDC. May supervise the work of others. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. EXAMPLES OF WORK PERFORMED Provides direct administrative support to the Executive Director. Answers and routes incoming calls, takes messages and greets and directs visitors to appropriate staff. Communicates administrative policies, procedures, standards, and methods. Ensures cleanliness of reception area, copy room, break, storage, and conference rooms. Collects, sorts, distributes, and prepares all mail, messages and courier deliveries. Maintains up-to-date databases and office files. Collects and prepares check requests, purchase orders, reimbursements and invoices. Orders office supplies, conducts physical inventory and manages equipment repairs. Maintains meeting records and agreements. Assists with preparation for board meetings and board events. Maintains office schedules and appointments. Coordinates calendars, meetings, and other activities with other governmental agencies, executives, and organizations on behalf of EDC Director. Schedules employee training including registration and travel arrangements. Ensures travel arrangements are optimized when multiple employees are attending the same training or seminar. May communicate organization objectives, tasks, and decisions to staff on behalf of EDC Director. May prepare notices or agendas for meetings. May supervise the work of others as directed by EDC Director. May assist with business recruitment, retention and development activities. May assist in the preparation of budgets, grant requests, and other periodic reports. Performs related work as assigned. GENERAL QUALIFICATION GUIDELINES Experience and Education High school diploma or GED is required. Excellent verbal, writing, and interpersonal communication skills required. Administrative support experience preferred. Knowledge, Skills, and Abilities Ability to handle high-level administrative issues, to analyze and solve work-related problems, to communicate effectively internally and with the public in an effective and courteous manner. Ability to manage multiple priorities, prioritize daily tasks and ability to follow detailed oral and written instructions. Skill in the use of office equipment, computers, and associated software applications. Registration, Certification, or Licensure Valid Texas Driver s License. Working Conditions & Physical Demands The individual works indoor in a well-lighted, air conditioned office and outdoors when necessary. The job has no significant hazards and physical demands are light. Duties involve lightweight materials, and/or using force for lifting/pushing/pulling/carrying weight of up to 25 lbs.
