We are currently seeking an **Administrative Assistant.** This person is an experienced, highly motivated individual with strong administrative expertise to provide front desk and administrative support. This position will play a key role by providing support to the local team and assisting with all office operations.

**Your Duties**

+ General engineering support duties include, but are not limited to, performing: technical writing and proof reading of work by others; prepare and format technical documents and reports, specifications, using Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Adobe Acrobat; printing and binding.

+ General business development support duties include, but are not limited to: assist in the development, review, and production of submittal packages, qualification packages, proposals, and reports. Includes activities such as editing drafts, proof reading for grammar, writing transmittal letters and executive summaries. Also includes background research, printing, binding and shipping.

+ General office duties include, but are not limited to: answer phone, type correspondence, make scans and copies, mailings (including USPS, FedEx and UPS), flight and hotel arrangements, assist with expenditure reports, submit documents to accounts payable, order employee business cards, ensure business license is up to date, inform landlord of building issues and office staff addition and reduction, oversee office equipment maintenance (phones, printers, plotters, copiers), order supplies and equipment, coordinate with IT Services, assist HR on new hire onboarding, and clean kitchens.

+ Electronic calendar management and coordination of office meetings and training sessions, including ordering meals and refreshments as needed.

+ Assist with fire drills/evacuation in case of emergency.

+ Assist with miscellaneous administrative duties as required.

+ Assisting in backing up the front desk and receptionist duties when needed.

+ Assist staff with submission of expenses and timesheets.

+ Various other office duties.

**Your Capabilities and Credentials**

+ A college degree is preferred; with a background in business writing or English

+ Minimum 1-2 years reception/office administration experience in large office

+ Must possess excellent interpersonal skills and a strong commitment to excellence and high standards;

+ Must have excellent writing and editing skills;

+ Must be expert in Microsoft Office Suite, including but not limited to Word, Excel and PowerPoint;

+ Must demonstrate a high level of attention to detail in completion of tasks;

+ Must demonstrate the ability to multi-task and prioritize in a fast-paced environment and possess flexibility when juggling numerous tasks simultaneously in a rapidly changing environment;

+ Must grasp instructions and information rapidly and apply them with varying degrees of supervision;

+ Must be willing to help all levels of staff members and understand how to effectively coordinate timely assistance from other support staff to accomplish tasks in order to meet deadlines;

+ Must have versatility, flexibility and willingness to work within frequently changing priorities;

+ Must be able to understand and follow written and verbal instructions;

+ Must be willing and able to take the initiative when needed;

+ Must have strong organizational, problem-solving, and analytical skills;

+ Professional, positive attitude is needed; and

+ Familiarity with maintaining records and archiving processes
