Job Summary

This position provides senior level executives with administrative support to include: answering/screening telephone calls, managing complex schedules, coordinating meetings, handling travel arrangements, along with other office duties. This position requires the application of discretion, confidentiality, and the ability to exercise sound decision making at critical times.

Characteristics and Responsibilities

Administrative Management (50%)

+ Relieve the executive(s) of advanced administrative detail to provide business unit effectiveness and efficiency to leverage the executive's time.

+ Correspond and maintain positive and effective relationships with internal staff, outside agencies, vendors, and other organizations. Maintain knowledge of the responsibilities of the executive and business group, and a high level of integrity due to the confidential and sensitive nature of the executive's position.

+ Processes confidential information and documents, and handles confidential matters with discretion. Makes independent decisions using initiative and judgment for matters requiring attention in the absence of the executive to ensure the correct individuals are involved to resolve the situation. Completes sensitive tasks directly for the executive on a routine basis.

+ Prepare or finalize correspondence, memoranda, and reports.

+ Support budget preparation for assigned department(s).

+ Notify appropriate departments of any board level changes, such as new board members or officers as appropriate.

+ Read incoming correspondence and emails, determine appropriate action and bring important matters to recipient's attention.

Meeting and Schedule Coordination (50%)

+ Coordinate and oversee meeting executive, board, department, etc.) preparation, which may include meeting scheduling, development of agenda, collection of materials, creating and organizing PowerPoint presentations and other meeting materials, providing logistical support, preparing minutes and appropriate action/pending lists.

+ Register executives for conferences/seminars and handle any related travel arrangements/hotel accommodations as necessary.

+ Screen telephone calls and visitors, as well as resolve routine and complex inquiries.

+ Schedule appointments and meetings. Provide meeting reminders and appropriate materials.


Work Experience


+ 4 or more years of experience supporting multiple executives and corporate committees



+ Associate's degree in Business Law, Administrative Professional, or related field OR equivalent post high school education and/or work-related experience
