New Castle, DE - ADMINISTRATIVE ASSISTANT/ COORDINATOR

SCORELOGIX, a leading financial services startup backed by Tier 1 Hedge Fund and Private Equity Fund managers and angel investors/entrepreneurs, has an immediate opening for an Admin Assistant/Coordinator. The founder and CEO of the company is a Harvard MBA and a proven entrepreneur with 15+ years of experience in financial services and technology industries.

Responsibilities:
- Provide administrative support to the management team
- Assist with the preparation of invoices, proposals, and other deliverables
- Coordinate meeting and travel arrangements, as necessary
- Coordinate and maintain CEO, Directors and Managers’ Schedules
- Assist in the preparation, editing, and coordination of emails, letters, reports and presentations
- Coordinate planning of meetings, conferences, exhibitions, seminars, and other business events including renting space, locating site, catering, and arranging related materials, as necessary
- Maintain mailing lists and coordinate business development activities
- Maintain file management, backup processes, management reporting processes, etc.
- Perform basic accounting duties including expenses tracking & reconciliation, govt. filing and tax document preparation in cooperation with the company’s accountant and tax consultant
- Work as a member of our team and with other team members in other offices
- Order supplies and other necessities
- Maintain a good working knowledge of the Scorelogix procedures, including management procedures
- Manage incoming and outgoing phone calls
- Support company’s sales and marketing efforts by making phone calls to prospective and existing clients, vendors and partners
- Prepare electronic time and expense reports, as necessary
- Assist with additional office duties as assigned

Qualifications:
- Three years of full-time permanent experience as an Administrative Assistant
- Advanced proficiency in Microsoft Office (MS Word, Excel and PowerPoint)
- Extensive administrative and related office skills with the ability to work independently
- Excellent written and verbal communication skills
- Flexible to work hard in a start-up company which may include working in the evenings and weekends, as needed
- Able to work well in a team environment and proactively anticipate the needs of the practice
- Able to type at a speed of 60 words per minute
- Strong organization skills with the ability to prioritize tasks
- Able to deliver projects with a prompt turn around time
- Able to work under pressure and handle high volume work
- Able to type accurately from dictation and/or written text
- Able to work independently with limited supervision.
- Able to handle multiple tasks simultaneously and high degree of initiative and personal ownership

Compensation: $12-20/hour + performance incentives (bonus/options)

Position Purpose:
Performs highly responsible, professional secretarial and administrative services for the President and CEO to ensure these functions contribute to and support the mission, strategy, values and goals of the organization.

Essential Duties and Responsibilities:
* Professionally represents the organization to major donors, public representatives, national staff and agencies. Exhibits the highest level of professionalism and customer service. On any given day, may interact with range of people from employees up to and including the President of the United States. Ensures that all Board and Donor contacts are handled promptly and diplomatically. Resolves Board and Donor issues by following-up with appropriate stakeholders.
* Manages the meeting process for the National BBBSA Board of Directors. Determines schedules for preparation and distribution of board-related materials. Prepares, publishes and distributes agendas, notes and minutes. Travels independently to board and national meetings on an as needed basis.
* Manages access to the CEO. Uses judgment and discretion in scheduling the CEO for events and meetings.
* Coordinates travel and meeting arrangements for the CEO, including transportation, accommodations, meeting facilities and related services. Prepares and submits related expense reports.
* Resolves conflicting work demands by establishing immediate and longer-term priorities. Assigns work to other administrative assistants as needed.
* Drafts PowerPoint presentations for review and editing by the executive team.
* Sets the benchmark for administrative staff by demonstrating superior administrative routines, processes and procedures.
* Creates efficient filing, archiving and retrieval system which are compliant with legal and regulatory standards.
* Actively utilizes standard organizational technology and software including email, intranet, calendar, etc. Works independently while understanding the necessity for communicating and coordinating work efforts with other employees, departments, agencies and affiliates.

Travel Requirements: 10%

Education and Related Work Experience:
Educational Level: (minimum & preferred educational requirements are necessary to perform this job successfully) Associates Degree required; Bachelor’s Degree preferred.
Years of Related Work Experience: (minimum & preferred related work experience necessary to perform this job successfully) 2-4 years of related work experience required; 5-8 years of related work experience preferred; experience providing administrative and secretarial support at an executive level in a community service environment.

Skills and Knowledge:
* Advanced MS Outlook, Word, Excel and PowerPoint (required)
* MS Visio/other organizational chart software (preferred)
