Aerospace Industries Association (Rosslyn, VA) is seeking an Administrative Assistant to provide administrative services to the Civil Aviation Division staff. Duties include: create, edit, print and file a variety of documentation, including correspondence, schedules, presentations, meeting materials; arranging and maintaining appointment and travel schedules; coordinate and make travel arrangements; prepare expense reports and invoices for recoverable department expenses; answer and screen incoming calls; receive and distribute incoming correspondence; distribute materials to member company reps, post documents to the AIA web site; make meeting arrangements, both internal and off-site; maintain dept filing systems. Reston, VA, DC area - LEGAL OFFICE ADMINISTRATOR

This part-time position reports to the Managing Principal of a Reston, Virginia Law Firm. The Office Administrator needs to be a highly organized individual who can efficiently manage varied tasks.

Responsibilities include the following and others may be assigned:
• Providing executive support to the Managing Principal and counsel as needed
• Managing and Overseeing all office financial and budget activities, including all bookkeeping, maintaining AR and AP records, preparing monthly reports, invoicing and collections, reconciliation of accounts, etc.
• Overseeing all office related matters, including the proper functioning of all office equipment, selecting and negotiating with vendors, and maintaining office inventory and ordering supplies
• Managing firm’s advertising and marketing initiatives
• Maintaining all client files and scheduling meetings
• Handling incoming and outgoing mail, answering the telephone, handling inquiries
• Research, proof reading, client correspondence

Job Requirements:
Bachelor’s degree and three years’ experience is preferred; strong computer skills and high proficiency with Microsoft Office applications, including Outlook, Word and Excel is required. Working knowledge of QuickBooks is needed. Candidates must have excellent oral and written skills, as well as excellent organization and interpersonal skills (an engaging and out-going personality is a plus). Candidates must also have experience with budgets, be able to maintain financial accounts, and be detailed oriented. Must be able to handle multiple tasks simultaneously, as well as be flexible when priorities change quickly.

Compensation: Salary is commensurate with experience.

Rockville, VA, DC area - ADMINISTRATIVE ASSISTANT (FOR A SOFTWARE COMPANY)

We are looking for someone to handle the day-to-day administrative needs of our closed captioning software and service business. A self-starter mentality is required!

Core responsibilities include:
Invoicing, shipping (light packages – we sell software).
Updating customer records in database (ACT).
Keeping detailed records of financial activities in Quickbooks.
Keeping up with basic paperwork and filing.

Additional responsibilities include:
Answering the phone and forwarding calls to appropriate person.
Closed captioning videos when our captioning service is busy. We will teach you how to use our software to caption.
Describing how the software/service works on a basic level to potential customers over the phone.

Requirements:
Experience using software at a level deeper than Word’s basic functions.
A desire to learn new software is essential.
Interest and experience with digital video preferred, but not required.
Excellent organizational skills and must be detail oriented.
Quickbooks experience a plus but willing to train the right individual.
