Performs confidential clerical and
administrative duties for an Executive Committee Member, requiring broad and
comprehensive experience, skill and knowledge of organization policies and
practices. Accurately transcribe, type, format, and proof read a wide variety
of material (for example correspondence, invoices, contracts, meeting minutes,
reports, and presentations) using word processing, presentation, graphics and
spreadsheet software. Meet and greet clients and visitors, answer
telephones, screen calls, and take messages from external or internal
+ Manage schedules/set up meetings.
+ Answer phones as needed.
+ Manage & deliver mail.
+ Provide administrative support for meetings,presentations, projects.
+ Coordinate companywide meetings, offsite &training.
+ Coordinate travel arrangements, process expense reports& invoices.
+ Manage budget input.
+ Act as the main point of contact for all administrativeissues.
+ This individual will have access to confidential informationand it is imperative that he/she maintain confidentiality at all times
+ Must be able to work independently and exercisejudgment in absence of the E.C. Member.
+ Must exercise judgment in monitoring phone calls andmeeting requests.
At least 4-6 years of Executive Administrative
experience or steady progression in increasingly responsible jobs as an Executive
Administrative Assistant. High School diploma or equivalent.
+ Highlevel of confidentiality.
+ FinancialAcumen and experience with budgeting and forecasting for office supplies,travel and other basic administrative areas.
+ In-depthknowledge of Microsoft Office, including PowerPoint, Word, Excel, Outlook.
+ Abilityto multi-task, prioritize and work under pressure.
+ Coordinatecomplex travel arrangements, expense reports, and invoice processing.
+ Abilityto take initiative and problem solve
+ Polishedand professional demeanor in person, online and via phone.
+ Abilityto coordinate large meetings and off-sites.
+ Abilityto manage a budget.
+ Proficientin Microsoft Office, Word and Power Point; strong Excel skills.
+ Abilityto be flexible and manage a frequently changing schedule.
